Why a structured onboarding process ?
At Airnest REIM, every new partnership begins with a clear and comprehensive onboarding process. Our goal is to secure your property, optimize profitability, and ensure smooth, compliant, and worry-free management from day one.
(1) Onboarding Form & Initial Information Collection
As soon as contact is established, you’ll receive a digital onboarding form designed to gather all key information :
Personal and fiscal details of the owner(s)
Legal structure of ownership (individual or corporate)
Full property description (location, surface area, typology, number of rooms, etc.)
Existing documents: Caderneta Predial, energy certificate, usage license, AL license, existing contracts
Intended rental type: short-term, mid-term, or long-term
Bank details and management preferences
Goal: create a complete, clear, and actionable owner file for our team.
(2) Documentation Audit & Management Agreement
Once the onboarding form and documents are received, we conduct a comprehensive review :
Check the validity of all documents
Update or generate any missing files (e.g., lease templates, property sheets, etc.)
Legal analysis of ownership and operation model
Issuance of the Airnest REIM property management mandate, signed electronically
Goal: ensure full legal and administrative compliance before any rental activity begins.
(3) Accounting & Tax Review
Before listing the property, we conduct a personalized financial and tax analysis :
Review of the Portal das Finanças account via our partnered chartered accountant (upon request)
Identification of the most suitable tax framework: recibos verdes, Rendimentos Prediais, or corporate structure
Integration into our accounting system for invoicing, receipt issuance, and tax declarations
Goal: provide clear insight into your net profitability and ensure full compliance with Portuguese tax obligations.
(4) Property Preparation & Value Enhancement
Our field team organizes an on-site readiness visit :
Equipment check and verification of safety and legal compliance (smoke detectors, fire extinguishers, welcome booklet, etc.)
Recommendations for improvements (furniture updates, small repairs, upgrades)
Coordination of required services: cleaning, linen, maintenance
Professional photo shoot to highlight your property for marketing and internal documentation
Goal: ensure the property is fully prepared, attractive, and secure before listing.
(5) Platform & System Integration
Once the property is ready :
Integration into our tech ecosystem: CRM, channel manager, and Airnest automations
Ad writing and distribution (if needed)
Listing the property within our mid-term rental network
Setup of billing flows, receipt generation, and SEF / SIBA declarations
Goal: launch rental activity efficiently, with all systems ready.
(6) Monthly Monitoring & Owner Reporting
As soon as the first booking or lease begins:
Automated tracking of income and expenses
Real-time access to a shared owner dashboard (invoices, receipts, contracts, check-in/out reports)
Setup of your dedicated owner portal with live reporting and financial summaries
Goal: provide transparent, remote-access management, with clear visibility on your property’s performance.
